2. Data we process

  • Information you send voluntarily in an enquiry or by email, such as your name, email address and the content of your message.
  • Technical information necessary to operate and secure the website, including server logs such as IP address, browser and device information, access time and the page requested, where this is processed by our hosting providers.

3. Purposes

  • To respond to enquiries and follow up on your request.
  • To organise community activities and communicate with you about them where relevant.
  • To operate, protect and improve the website.
  • To meet legal obligations where they apply.

4. Registration for events and workshops

  • We collect registration information submitted through Google Forms.
  • This may include your name, email address, the selected event or workshop, language preference, message and any other information you choose to provide.
  • Registration data are used only to administer the requested event or workshop, communicate about it, manage attendance and respond to enquiries.
  • We only request information that is necessary for the relevant event.

5. Sensitive and optional information

  • Registration for a Jewish community event may reveal information related to a person's religious activity or affiliation.
  • We do not ask for sensitive information unless it is genuinely necessary for a specific event.
  • Information such as dietary requirements, allergies, accessibility needs or health-related information is always optional and is used only for the specific event, for safety or to accommodate participants.
  • We do not request passport or identity-document numbers, date of birth, nationality, health information or religious information unless strictly necessary for a specific legal or safety reason.

6. Google Forms, Google Sheets and Google Drive

We use Google Forms to collect event and workshop registrations.

Responses are stored in linked Google Sheets and Google Drive folders under the organisation's Google account (JewishKultura@gmail.com).

Google acts as a service provider (processor) for these tools.

Personal data may be processed outside Switzerland, including in countries where Google or its sub-processors operate. Where required, appropriate safeguards are used for cross-border transfers.

7. Notices at the point of collection

Each Google Form we publish contains a short privacy notice and a link to this Privacy page before you submit it, so you can see what is collected and why.

8. Principles of processing

Processing is limited to the purposes described above and kept proportionate. It is based on your consent where required, or on the organisation's legitimate interest in running a safe, responsive community website.

9. Recipients and third-party links

  • Hosting and deployment providers process technical data on our behalf as necessary to make the site available and secure.
  • The site contains direct links to Telegram, WhatsApp, Instagram, YouTube and Google Maps. These services are not embedded on our pages. They receive data only when you choose to follow a link, and their own privacy notices then apply.
  • Where an external provider processes data abroad, we rely on appropriate safeguards where required by applicable Swiss data-protection law.

10. Retention periods

  • Event and workshop registration data: normally deleted within 6 months after the event, or after the end of the workshop season.
  • Cancelled or incomplete registrations: normally deleted within 90 days.
  • Enquiry data (email correspondence): normally kept up to 24 months after the last communication, unless longer retention is legally required.
  • Data may be kept longer only where necessary to resolve an issue, comply with a legal obligation or defend legal claims.
  • If financial records are introduced in the future, they will be kept separately from registration data and according to applicable record-keeping obligations.
  • Technical logs follow the retention settings and security needs of the relevant providers.
  • Retention periods are reviewed regularly.

11. Access and security of registration data

  • Access to registration data is limited to authorised organisers who need it for the relevant event or workshop.
  • We use access controls and appropriate account-security measures, including multi-factor authentication where available.
  • Registration data are not shared publicly and are not made available through unrestricted links.
  • No transmission over the internet or storage system can be guaranteed to be absolutely secure.

12. Your rights

You may request information about the data we hold about you, as well as correction or deletion. Where applicable, you may also ask us to restrict or object to certain processing, or request data portability. To exercise your rights, please contact us by email at jewishculturebern@gmail.com.

If you believe your data-protection rights have been infringed, you may also contact the Swiss Federal Data Protection and Information Commissioner (FDPIC/EDÖB).

13. Security

We take reasonable technical and organisational measures to protect personal data. No transmission over the internet or storage system can be guaranteed to be absolutely secure.

We update this notice when our processing changes. The date below indicates when it was last revised.
